Terms

Last updated: June 14, 2026

These Terms and Conditions govern your use of Hotelos One, including our training platform, the public Hotel Audit, and our private beta program. By using the service, you agree to these terms.

1. About Hotelos One

Hotelos One operates this service. We provide an online training platform for independent hotels, a public Hotel Audit that produces a diagnostic report from publicly available information about a hotel, and a private beta program for selected hotels.

You can reach us at any time at hello@hotelos.one.

2. Acceptance and eligibility

By accessing or using the service, you confirm that you have read and accept these terms. If you use the service on behalf of a hotel or company, you confirm that you are authorised to accept these terms for that organisation.

The service is intended for business users and is not directed at children under 16. You must be old enough to enter into a binding agreement in your country.

3. Accounts and your responsibilities

Some features require an account. You are responsible for keeping your login details confidential and for all activity that happens under your account.

You agree to provide accurate information about yourself, your hotel, and your team, and to keep it up to date. Tell us promptly at hello@hotelos.one if you believe your account has been used without your permission.

4. Private beta program

Accepted hotels join the private beta for around three months per hotel, unless we agree something different in writing. Access can be free or discounted depending on what we agree with you.

Beta access may be used by all staff of the hotel who need the platform for operations or training. It is for the team of that single hotel only and must not be shared outside the hotel.

During the beta we expect a reasonable level of participation, including about one hour of conversation with the hotel manager each month and honest feedback about the platform.

If a hotel does not meet the agreed beta requirements, we may, after giving reasonable notice, remove access or charge for continued use. We may suspend or end access immediately in cases of misuse, account sharing beyond the hotel, or any security, legal, or operational risk.

5. Acceptable use

You agree to use the service only for lawful purposes and in line with these terms. You must not share access outside your hotel, misuse the platform, or attempt to disrupt or gain unauthorised access to it.

You must not copy, reverse engineer, scrape, or extract the platform or its content beyond what these terms allow, and you must not use the service to build or train a competing product.

6. Intellectual property

The platform, the Hotel Audit, the lessons, tools, templates, and all related content belong to Hotelos One or its licensors and are protected by intellectual property law.

During the beta we grant your hotel a limited, non-exclusive, non-transferable licence to use the platform and its content for the internal training and operations of your hotel. This licence ends when your access ends.

Reports we generate for your hotel are provided for your internal use. The underlying methods, models, and materials remain ours.

7. No guarantee of results

The Hotel Audit, lessons, tools, and recommendations are practical guidance only. They are not legal, financial, or other professional advice, and you remain responsible for your own business decisions.

We do not guarantee any specific outcome, including increased revenue, better reviews, or improved operational results. Results depend on many factors outside our control.

8. Disclaimers and limitation of liability

The service is provided on an "as is" and "as available" basis. As a beta product it may contain errors, change, or be interrupted, and we do not promise it will be uninterrupted or error free.

To the extent permitted by law, we are not liable for indirect or consequential losses, lost profits, lost revenue, or loss of data. Nothing in these terms limits liability that cannot be limited under applicable law.

Where access is provided free of charge, our liability is limited to the maximum extent the law allows. Where you pay for access, our total liability is limited to the amounts you paid to us for the service in the period concerned.

9. Changes to the service and these terms

Because this is a beta, we may add, change, or remove features at any time. We may also update these terms from time to time.

If we make material changes, we will take reasonable steps to let you know. Continuing to use the service after changes take effect means you accept the updated terms.

10. Suspension and termination

You may stop using the service at any time. We may suspend or end your access at the end of the beta period, if you breach these terms, or for the security, legal, or operational reasons described above.

When access ends, your licence to use the platform and its content ends as well. Sections that by their nature should survive, such as intellectual property and limitation of liability, will continue to apply.

11. Governing law and contact

These terms are governed by the applicable law of the European Union and the country where your hotel is established, without affecting any mandatory consumer or local protections you may have.

For any questions about these terms, contact us at hello@hotelos.one.
